Who can export
Exporting the directory requires the export permission, which only the Admin role has. Clergy, Staff, Financial Admin, Board Member, and Volunteer cannot export member data, even where they can see it on screen. This is deliberate. Reading one family’s contact details on screen and downloading your whole community’s personal information are different acts, and they are permitted separately.Financial exports are separate and use a different permission. Financial Admin and Admin can export the dues list even though Financial Admin cannot export the directory. See Dues and finances.

Exports are always complete
This surprises people, so it is worth being explicit. An export contains every record, not the filtered view on your screen. If you have filtered the Members page down to eleven board households and then export, you get your entire membership, not those eleven. To work with a subset, export the whole file and filter it in your spreadsheet.The dues export behaves differently: it covers the dues year you are looking at, and it lets you pick which columns to include. Handle the file carefully
An export is your community’s personal information in a single portable file: home addresses, phone numbers, birth dates, email addresses. A few habits worth keeping:- Download it when you need it, use it, then delete it. Do not leave copies in your Downloads folder for years.
- Do not email it as an attachment. Share access to the system instead, which is what roles are for.
- Do not put it in a shared drive that more people can reach than should.
