Who is being remembered

Name of the person who died, and their Hebrew name if you have it. The Hebrew name is often what is read aloud, so it is worth collecting. Relationship describes them in relation to the family remembering them: Mother, Father, Grandmother, Husband. Write it the way the family would say it, since it appears in the reminder email.

When they died

Choose the calendar first, then enter the date. Which calendar you choose decides how the anniversary recurs each year, and it is the choice most worth getting right. See Hebrew and secular dates. If you enter a secular date, the matching Hebrew date appears as you type so you can check it before saving. New records start on your congregation’s default calendar, which you set in Yahrzeit settings. Set the default to whichever your community uses most, and you will only change it occasionally.

Who is reminded

This decides where the reminder email goes, and there are two ways to fill it in. Link a member. The usual case. Choose someone from your directory, and reminders go to the email address on their member record. If they later change their email, reminders follow automatically. Enter a contact directly. For someone who is not a member of your congregation: an adult child who lives elsewhere, a relative who asked to be included. Enter their name and email address on the record itself.
A linked member with no email address on their record cannot receive reminders. Nothing warns you at the moment you save, so if you are creating records in bulk, check afterwards for people with no email address.
Only one recipient per record. If two siblings both want a reminder for the same parent, create a record for each of them.

Cemetery and plaque

Two checkboxes: whether the person is buried in a cemetery your community tracks, and whether there is a memorial plaque in your building. See Cemetery and plaque records.

Notes

Anything your office needs to remember: which plaque row, a family’s request about how the name is read, who to call instead of the listed contact. Notes are for staff and do not appear in the reminder email.

After saving

The record appears in the list with its next observance worked out. If reminders are switched on for your congregation, this record is now included.
Adding a record whose observance is already inside the reminder window does not mean you missed it. The reminder goes out on the next daily run. See Reminder emails.

Editing

Open any record from the list to see it, then choose Edit. Everything above can be changed, including the calendar.
