# When someone unsubscribes

> How opting out works, what it covers, and how to reverse it.

Every yahrzeit reminder carries an unsubscribe link. Someone who no longer wants these emails can stop them themselves, without going through your office.

## What unsubscribing covers

An unsubscribe applies to **the email address**, across **every yahrzeit record in your congregation that would reach it**.

This is worth understanding. If Miriam Rosen receives reminders for her mother and her father, and she unsubscribes from one, both stop. She asked not to receive these emails, and honouring that for one parent but not the other would be a strange reading of her request.

It also carries across record types. If her address appears on one record as a linked member and on another as a directly entered remembrance contact, both are covered.

It does **not** cross congregations. An unsubscribe belongs to your congregation's records only.

## What you see

A record whose recipient has unsubscribed shows the status **Opted out**. You can filter the list by it to see everyone affected.

The record itself is untouched. The person, the date, the relationship, the plaque marker are all still there. Only the email is stopped. The observance is still part of your congregation's records, and still appears in your lists.

## Sending by hand does not override it

**Send card now** respects an unsubscribe and will not send.

This is deliberate. Someone who has opted out should not receive an email because an administrator clicked a button, however well meant. If they have changed their mind, they should say so.

## If someone changes their mind

People do, particularly when they unsubscribed in a difficult moment and later want the reminder back.

There is no self-service way for them to resubscribe, so they will contact your office. Contact [support@kehillahq.com](mailto:support@kehillahq.com) with the congregation and the email address, and we will remove the opt-out.

  Note in the record's notes field that the person asked to be resubscribed, and when. It saves confusion if the question comes up again later.

## Reaching them another way

An unsubscribe is about email, not about your relationship with the family. Nothing stops you phoning them, writing to them, or mentioning it when you see them.

Some families would rather hear from a person than receive an automated message, and the unsubscribe may be exactly what they were telling you.

## Keeping the number low

Yahrzeit reminders are a service, not marketing, and most people want them. If you are seeing unsubscribes at more than a trickle, something is probably wrong: reminders arriving on the wrong date, duplicate records sending twice for the same person, or a reminder addressed to the wrong relative.

Check for duplicate records first. Two records for the same person and the same recipient means two emails, which reads as carelessness at a sensitive moment.
